What to include in your inquiry
- Each bearing code or series, with the size where you have it
- Quantities next to every item on the list
- The destination market the goods are shipping to
- Seal, clearance, grade or material choices, next to their items
- Anything that must be settled in writing, stated in the message
Quantities and the destination market
Quantities change how an item is packed and priced, and the destination market changes the labelling and the shipping arrangement, so both belong in the first message rather than a second one. If the quantity is a programme rather than a single shipment, say so in the message field; if the destination is a port rather than a country, name the port. A short complete list is priced faster than a long partial one.
Drawings and samples
Custom work starts from a drawing or a sample. Note in the message which items on the list are custom, and what the drawing or sample carries: bore, outside diameter and width, the material, the sealing and the tolerance points that matter. Settle the full set of points in the drawing checklist before the drawing is sent.
After you send
Keep the item list you sent together with any reply: quantities, options and destination in one record avoids the two most common delays, which are an option agreed for one item being read onto another, and a quantity updated in a later message without the item it belongs to. If a reply raises a question about an item, answer against that item's line in the original list.
